A #YUBlog Guide to Convocation

It may not seem like it, but Convocation is on the horizon! You have put in years of hard work to get your degree and now is your moment to reflect on and celebrate your significant accomplishments. The #YUBlog has compiled a checklist to ensure that all graduates are prepared to attend the ceremony with everything you need.

York University’s June 2019 Convocation will take place from June 7 to 21. Please review the York Convocation Schedule Summary to confirm which ceremony you and your guests should attend.

Prior to the Convocation Ceremony

Step 1: Apply to Graduate

This first step is vital to the graduation process. Before you start preparing for the Convocation ceremony, you will need to apply to graduate to make sure you have completed all of your required courses and maintained an acceptable grade point average (GPA).

Once you apply, the Degree Audit Office will evaluate your eligibility to graduate. The online application to graduate in June 2019 is open until February 28, 2019.

Step 2: Check Your Graduation Status

After you have applied to graduate, you should check your graduation status to make sure you are on the right track to graduate. You can check your status online by signing in to your Passport York account. If you are a graduate student, you will need to check with your graduate program office to confirm your graduation status.

 Success Tip: If you are unsure of your eligibility and would like to verify your graduation status before applying to graduate, make an appointment with your Faculty or program advising office.

Step 3: Examine Your Diploma Information

Once you have logged in to your Passport York account, you should also check your diploma information to make sure your official name as it will appear on your diploma is correct. If not, you must complete a name change form and submit it to the Registrar by May 1, 2019

Step 4: RSVP

If you are planning to attend Convocation in June, you must RSVP to let the University know that you will need a robe for the event. When you RSVP, you will also be provided with printable guest tickets to your convocation ceremony. Learn more about ticket information on the York Convocation site.

The online RSVP system is not currently available for the June 2019 Convocation. This system will be available approximately four to six weeks before Convocation.

Step 5: Review Your Student Account

Please check your Student Account for any outstanding balances, which may include tuition and charges from the library, parking and/or telecom. You can check your library fees online and can contact Parking Services at (416) 736-5335 and York Telecom at (416) 736-5611 ext. 55611 or telecomm@yorku.ca.

Step 6: Convocation Dates

Next, make sure you know what day and time your convocation ceremony will be taking place! There are several dates for different Convocation ceremonies. The one you attend will depend on your specific program and Faculty. Check the Convocation schedule ahead of time to make sure you arrive on the right day to graduate with your classmates! You can also find location and driving details on the Convocation website.

Step 7: Frames and Videos

Finally, the last thing you can do before the ceremony is pre-order a diploma frame and/or a copy of your ceremony video!

On the Day of the Convocation Ceremony

Step 1: Arrival Information

When the day finally arrives, make sure you aren’t late! Graduates should arrive at least two hours before the ceremony to pick up robes and be marshaled into order for the procession. The graduate procession will start 45 minutes before the ceremony, so make sure to arrive early. After that, sit back and relax as the ceremony begins!

Step 2: Return Your Robe

Once the ceremony is over and you have crossed the stage, there will be a reception for all graduates and guests. After the ceremony, you will need to go to the designated area to return your robe and pick up your diploma.

Note: Only graduates will be allowed into the robe and diploma areas.

Step 3: Celebrate!

Congratulations: you’ve achieved a major accomplishment by graduating! Now that the ceremony is over, celebrate with your friends, family and classmates, because you did it!

Unable to Attend Convocation?

If you were unable to attend convocation, you can pick up your diploma on campus at Registrarial Services (W120 Bennett Centre for Student Services) after July 2, 2019.

However, if you prefer to have your diploma mailed to you, you must complete and submit a Diploma Mailing Request Form.
